What you will do:
Aistech Space is looking for a Purchasing and Accounting Assistant to join our Accounting and Finance Department at our headquarters in Sant Cugat. This strategic, dual-focused role acts as a vital bridge between our Purchasing, Accounting, and Program Management teams.
You will be responsible for managing the complete administrative procurement cycle—ensuring strict alignment with project payment windows and cost accounting—while also serving as the primary backup for our main accountant, guaranteeing seamless business continuity and accounting precision across general and analytical accounts.
You will directly interface with suppliers, Program Managers, and financial management to streamline invoicing, international logistics, customs clearance, and cost allocation. Additionally, you will support month-end accounting closings and ensure that administrative workflows strictly adhere to internal standards and financial controls.
The daily tasks to be achieved in this position are:
Manage and update the internal purchasing module, processing purchase orders and tracking material and service receptions.
Perform comprehensive 3-way matching (Purchase Order + Delivery Note + Invoice) to ensure invoice accuracy and resolve discrepancies.
Oversee international shipping administration, managing customs documentation (DUAs) and applying appropriate Incoterms (EXW, FOB, DDP, etc.).
Act as the primary liaison with Program Management to strictly schedule and meet project payment windows, ensuring proper cost feeding into project analytical accounting.
Integrate purchasing transactions into the general and analytical accounting ledger using A3 accounting software.
Provide active accounting support and serve as a reliable backup to the main accountant during month-end closings, workload peaks, or temporary absences.
Maintain clear communication across internal teams (Operations, Program Management, and Finance) to align purchasing activities with company budgets.
Actively engage in documenting, refining, and updating administrative procedures and specification manuals.
Who you are:
Must:
Higher Vocational Training (FP Grado Superior) in Administration & Finance, or BSc/BA in Business Administration, Economics, or relevant degree.
2 to 4 years of experience (Junior-Mid profile) in accounting, finance, or administrative procurement roles, preferably in technology, industrial, or project-based environments.
Solid foundation in general accounting principles and practical understanding of analytical/cost accounting.
Hands-on experience with ERPs or purchasing management modules, and proficiency in accounting software (A3 software knowledge or quick adaptability).
Working knowledge of international trade administration: Incoterms (EXW, FOB, DDP), customs procedures (DUA), and cross-border invoicing.
High level of accuracy and attention to detail regarding 3-way matching and cost allocation.
Exceptional organizational skills with a strong focus on meeting strict deadlines and payment windows.
Assertive and diplomatic communication skills to interface effectively between suppliers, Program Managers, and Finance leadership.
Proficient in Microsoft Excel.
Fluent in Spanish and good working command of English (written and spoken) for international suppliers and customs management.
Nice to have:
Direct prior experience working with A3 accounting software.
Experience in project-driven environments working alongside Program Managers or Project Controllers.
Strong interest in developing a career path towards Project Controlling or Strategic Procurement.
Where you will be:
You will be working on-site in the headquarters offices of Sant Cugat in Barcelona. You will have an allocation of 6 days per month of remote working as per the internal policies of Aistech.
